Booster Volunteer Positions

Whippet football needs your time and talent!  "Many hands make light work."  We are confident that you will find volunteering extremely satisfying and a fantastic way to get to know other members of our football family!  Please review the volunteer positions below, especially the areas highlighted where a volunteer is still needed. Banquet Coordinator & Committee

(Held the 1st or 2nd Sunday in December)

The banquet is held at the end of the season for all players (9th through 12th grades), parents and family members (space permitting).  Player gifts are given for each grade. Players attend free.  Committee selects a venue (Downingtown Country Club/ TCHS), menu, decorates the venue, selects and orders player gifts, and creates the program for the event. 

Time Commitment: 

Banquet Day: 2hrs prep prior to the banquet/1 hr after banquet clean up

Sizing of Juniors for Letterman jackets at team dinner in September/October – 1hr

Ordering the hoodies for freshman, duffel bags for sophomores and Letterman jackets for juniors.  Wrapping all gifts for the banquet. 3 hrs

Fundraising - Whippet Discount Card Sales Coordinator(s)/Committee

The Whippet Discount Card is sold by players for $20.  Each player must sell 10 cards. The card lists various businesses that offer discounts to people who show their discount card.  Players must sell 10 cards to raise $200 for the team.  

The volunteer coordinator emails past participants to garner renewed support.  There is no charge for a company to participate. The coordinator and committee solicit the various businesses in Downingtown and the surrounding areas.  

The volunteer coordinator works with the class parents to distribute cards to the players, track the cards given and coordinate a collection plan.  Players receive their Whippet Cards after Shippensburg Camp to be sold through August.  

It is one of our steadiest fundraisers and we need each player’s full involvement to make it a success.  Go West!

Time Commitment: 

Coordinator - 20 hours between set up and collection in August (including renewal emails, committee coordination and payment collection.)

Committee - varies by number of businesses approached.  15 minutes per business.

Fundraising - Mulch Coordinator(s)/Committee & Description

Six Saturdays/Sundays in the Spring.  Volunteer parents drive players to assigned homes to spread mulch. Parents act as coordinators and organize boys to move the mulch at homes who have paid for the service. We meet at the school to get assignments and equipment distributed at 8 am and finish in the early afternoon.  The players are separated into a Gold Team and a Blue Team by Coach Milano. Each team is responsible to mulch on their assigned 3 days. Players MUST find replacements if they are unable to attend on their scheduled day. Lunch is provided. We need at least 3 trucks each weekend to help us move mulch equipment.  We need 4 – 6 wheel barrows, pitchforks, shovels, and garden gloves each mulch day (they are returned at the end of the day).  Parents commit to one mulch day in spring to this full day commitment.  It is one of our biggest fundraisers and we need everyone’s full involvement to make it a success.  Go West!

Volunteer Coordinator(s) works weekly with Sweetwater to identify the proper schedule of customers, amounts of mulch to be delivered, payment collection and organization of players, parents and equipment.  Volunteer Coordinator(s) begins the process by initial dates set-up and flyer updates as well as coordinate the parent volunteers after the kick-off dinner.

Time Commitment: 

Coordinator - First week 10 - 15 hours.  First week requires additional time to update the flyer and set dates. Following weeks 4 hours per week.  

Players - Three (4-6 hour) days of mulching in spring

Parents - One (4-6 hour) day of mulching in spring

Friday Night Game Night Duties & Volunteer

Sign up occurs via TeamSnap

  • Downingtown West Table and Tent setup and take down (Home Games).  Get the tent from the trailer, bring over to Kottmeyer Stadium and set up inside the stadium to the left of the ticket booths.

  • Prior to start of game, get the team banners (from the trailer) and place at the top of stands and on fencing outside the stadium. Hanging the banners prior to each home game (Home Games) 15- 20 minutes prior to the start of the game and take down after the game is over.   

  • Program Sales- 45 minute intervals to sell game day programs.  Sell up until they sell out or the start of the second quarter. Pack up remaining programs and leave at the whippet tent before half time.

  • 50/50 Sales - 45 minute intervals up until right before half time. Sell the 50/50 tickets at the gate and in the stands.  Prior to half time the money is counted and split in half. The winning ticket is pulled and the ticket is brought up to the announcer’s booth.  The winner is announced at halftime. 

Time Commitment:  Varies per position.  20 minutes - 90 minutes depending on role.

Game Day Programs Ad Sales

Business and Parent ads are purchased before the beginning of August. The programs are updated weekly. Programs are sold at every Varsity home game. Committee solicits businesses for ads, coordinates with graphic designers for program layout, and sells programs at games. 

This also is in conjunction with our golf outing sponsorships as well and would be coordinated with Golf Outing Committee Coordinator.  

Time Commitment: 1-2 hours a month visiting businesses in Downingtown.

Golf Outing Coordinator(s) & Committees

Future events TBD. Organize and run the Annual Golf Tournament, one of our largest fundraising opportunities.  Committees work to provide an excellent networking and fundraising community event. The annual date is in June.  Coordinator secures the date at a local Golf Club and organizes committees to run the event. Committees include sponsorship, auction, dinner, set-up and break-down as well as registration.  West Whippet families are all asked to promote the event and encourage friends, family and colleagues to participate. Player volunteers for the day of the tournament are welcomed and encouraged.  Parents commit to supporting the tournament through committee work, auction donations and day of event support. It is one of our biggest fundraisers and we need everyone’s full involvement to make it a success.  Go West!

Kickoff Dinner Coordinator(s) & Volunteers

The kickoff dinner is an annual event held in spring of the current year to introduce the program and schedule to players and parents for the new football season. Work with the Booster Executive Team and Coach Milano to secure the date and location of the dinner.  Coordinate with St. Anthony’s for catering. Organize parents to volunteer to help serve the dinner. Create a sign-up genius for parents to donate drinks and desserts.  Volunteers help to set up and break down. 

Time Commitment: 3 - 4 hours of organizing, helping with food service,  set up and break down.

Picture Day Help (10th - 12th grade parent volunteer)

The coordinator will get instructions from the photographer and coaches and organize the class parents to help the day run smoothly.  One parent per class is asked to commit to support the photographer and coaches in organizing a class of players on picture day. This is an afternoon commitment during the season at one of the practices prior to the start of the season.  Freshman may be photographed on a separate day from the JV/Varsity photos.

Time Commitment: One weekday afternoon (2-4 hours)

Post Game Food [Freshman] 

Food and drinks are provided after the Thursday freshman game for the players, for both home and away games. The food and drinks are distributed at the entrance to the school locker rooms at the home games and outside the buses for away games. Committee is given a budget to buy snacks and drinks are from the sports drink donation. Committee/Volunteer brings snack and drinks to games.

Post Game Food [JV] – (sophomore parent)

Food and drinks are provided after the Monday JV game for the players, for both home and away games. The food and drinks are distributed at the entrance to the school locker rooms at the home games and outside the buses for away games. Committee is given a budget to buy food and drinks are from the sports drink donation. Committee brings food and drinks to games.

Post Game Food [Varsity]  - (2 Volunteer parents per game)

Parent volunteers organize the purchase and prep of post game food and drinks and coordinates the distribution after both home and away games.  For home games, icing down the Gatorade in coolers, setting up a table at the back of the school by the boys locker room and getting hot dogs from the concession stands about 5 minutes before the end of the game.  Hand out a hot dog, bag of chips and drink to each player and coach as they enter the locker room post game. For away games we bring the post game food (WAWA hoagies, Chick-Fil-a Sandwiches, hamburgers/hotdogs from opposing teams concession stands, etc.) and iced gatorade.  Volunteers set up the table near the team buses with food for players to take upon getting on the bus to leave after the game.  

Food and drinks are provided for all players that suited for the game, both home and away.

Time Commitment: Pre game prep- 30 minutes, Post-game 30-45minutes each game

Varsity Game Day Pre-Game Meal

Healthy meal and drink are provided to the players before Varsity games;  immediately after school for both home and away games. Sandwiches are ordered through Wawa Donation program, other meal items and drinks are purchased at BJs/Sam's Club.  Position requires prep work and ability to be at DWHS by 2:30pm every Friday through season.

Purchasing specific foods, snacks and drinks for the boys prior to both home and away games.  Setting up the food in the Downingtown West Cafeteria at approximately 3:30pm on game day. The person in charge of this will need to purchase the food items at BJs and WAWA/ChikFila prior to each game day.  Be present at the Pregame Meal to ensure the food is set up for the players and given out to them to eat. 

Time Commitment: Varies per week due to shopping for materials.  1 hour on game day.

Senior Night Parent Volunteer/Coordinator (Non Senior Parent)

Coordinates pre-game ceremony honoring senior players and their families. A non-senior parent organizes this special night for our seniors.  Organize photographer, flower order and pick up, banner order and flow of the evening. On senior night coordinate/corral the senior parents. Hang senior banner.  Organize procession of players onto the field that night.  

Time Commitment: 6 - 8 hours of pre-evening organizing.  2 hours on senior night.

Souderton 7on7 Lunch Volunteer/Coordinator

Provide lunch for our players while at the 7 on 7 tournament which includes getting donations for lunch, icing Gatorade/waters, being present at the 7 on 7 to distribute the lunches to the players. 

Time Commitment: 4-6 hours of pre tournament prep and at tournament lunch time

DWest 7 on 7 Summer Shoot Out Volunteer/Coordinator

This event is sponsored and organized by Coach Milano. 4-6 Volunteers are needed to support the team’s snack area. Pre-cook hot dogs.  Sales of hotdogs, chips and drinks at the team tent on tournament day. Work with Coach Milano to package lunches for teams that pre-purchased meals.  Prepare lunch for our team. Man the table to sell food during the tournament.

Time Commitment: Pre-event time - 2-3 hours of food donation solicitation and prep
Event day - 6-8 hours (may split into shifts depending on # of volunteers

Team Dinner Coordinator & Committee

Coordinator plans and organizes room reservation with the high-school, sign-up geniuses and volunteers for all team dinners during the football season. Approximately 3 dinners during the regular football season and additional dates in the postseason if we reach playoffs.  The team dinner occurs the Thursday night prior to the Friday night home game. After the team finishes practice on Thursday night they come to the West Cafeteria to have a team dinner. The Team dinner coordinator determines the dinner theme for the night (ie Italian Night/Pasta Night; Mexican/Taco Night; Philly Special Night; etc.) in coordination with the board at the monthly booster meetings.  The coordinator sets up the sign up genius for the dinner which involves determining the types of foods and how much needed for that night as well as set up and clean up crews. As the coordinator you are responsible for getting all the necessary equipment from the trailer around 5pm prior to the dinner. We have utensils, chafing pans with sternos, paper products and utensils stored in the trailer for team dinners. 

Parent volunteers support with the following:

  • bring food and drinks to the team dinner and sign up on sign-up genius. 

  • help with set up or clean up of the team dinner.

  • help with serving the players and coaches dinner.

Time Commitment: 

Coordinator - 1 hour setting up the sign-up genius, 1 hour pre and 30 min post dinner set up and clean up for each dinner

Volunteers - varies.  Dropping off meals takes minutes.  Set -up and clean up 30 mins to 1 hour depending on # of volunteers.
